Schedule: Monday to Friday (37.5 hours per week)
Compensation: $43,000 - 48,000/Annum

Level Ground was founded in 1997 with a focus on fair trade and a passion for specialty coffee. We believe great, fair trade, organic coffee should be accessible to everyone. We started roasting coffee after-hours with a borrowed roaster in batches of 4lb coffee in Victoria, BC. Our first farmer partnership was with a co-op in Colombia and since then, we have worked with over 5,000 farmers across seven countries. We source high quality beans from organic and fair trade small-scale farmers. At Level Ground, we love the planet every day. Our patented roasting tech radically reduces emissions and we use 13 streams of recycling and composting, keeping us landfill free for over 20 years!
Job Overview
The Customer Experience & Sales Coordinator provides ongoing sales team and customer support. This administrative role will enter orders, manage product information, and work closely with other Level Ground teams to ensure customer questions and concerns are addressed in a timely manner.
Core Responsibilities
• Manage customer orders, inquiries, and account requests while ensuring a positive customer experience
• Lead customer onboarding, including account setup, wholesale website training, and ensuring customers are equipped to successfully place and manage orders
• Serve as a primary point of contact for customer support via phone and email
• Provide administrative and customer support coverage for the sales team as needed, ensuring continuity of service
• Identify process improvements and implement systems that enhance customer experience, operational efficiency, and team effectiveness
• Analyze customer data to identify customers’ needs and improve customer experience
• Maintain accurate customer records, account information, and interactions within the CRM and order management systems
• Collaborate with Operations, Logistics, Finance, and Marketing teams to resolve customer issues
• Assist the sales team with account administration, reporting, and customer follow-up activities
Role Requirements and Preferred Skills
• Proven experience in customer service, customer experience, account coordination, sales support, or a related customer-facing role
• Strong phone, email, and written communication skills, with a professional and customer-focused approach
• Strong organizational skills with the ability to prioritize multiple tasks, manage competing deadlines, and maintain attention to detail
• Experience working with cross-functional teams
• Confident troubleshooting issues, investigating root causes, and coordinating solutions across teams
• Experience using CRM, order management, or customer support systems
• Proficiency in Microsoft Office Suite, particularly Outlook, Excel, and Teams
Reporting & Working Groups
This position works collaboratively within the Sales team, reporting to the Sales Navigator.
